QON Inc. Privacy Policy

QON Inc. (QON) develops, operates, sells, and provides consulting and advisory services for interactive community marketing systems. QON contributes to society by providing QON system and research services, by supporting network training for users, and by promoting warm uplifting relations between companies and individual clients. In order to deliver these services to our clients,* QON gathers and utilizes customer information including names, addresses, phone numbers, e-mail addresses, and other personal information. In pursuing business activities involved in making these services available, QON also gathers and utilizes corporate information including the names, ages, addresses, phone numbers, and e-mail addresses of executives, officers, employees, and stockholders of corporate clients. QON is well aware that protecting and safeguarding this personal information (personal information) is a serious responsibility, and endeavors to handle and protect personal information based on the following privacy policies.

* Clients here refers to other companies that QON deals with, registered users of QON system services (user services are marketed under the name Beach), and individuals who have requested materials or applied for work at QON. This definition of clients applies throughout this document. We shall take appropriated measures to ensure personal information is only used for the intended purposes.

  1. 1. Collection and use of personal information

    QON collects personal information within the scope of purposes that are clearly stated in the policy. This personal information shall not be used for any purposes other than those specifically stated in the policy.

  2. 2. Management and protection of personal information

    Personal information shall be carefully managed and not disclosed or given to any third party without the consent of the client. QON shall also implement proper preventative and corrective measures to ensure that personal information held by QON is not subject to unauthorized access, loss, destruction, falsification, or disclosure.

  3. 3. Applicable laws

    QON shall comply with all laws pertaining to personal information and regulations developed by the government of Japan, shall observe practices generally accepted as fair and appropriate for handling personal information, and shall deal with personal information in a careful manner. QON shall also endeavor to continually upgrade and enhance its handling of personal information as time goes on.

  4. 4. Continuous improvement of personal information protection systems

    QON will continue to upgrade and enhance its management systems and mechanisms for protecting personal information.

  5. 5. Inquiries regarding personal information

    QON will respond in good faith to requests from clients to disclose, correct, delete, and stop using their personal information held by QON, as well as to complaints and requests for information.

Use of Personal Information

  1. 1. Purpose of Use

    QON shall collect personal information needed to conduct its business operations and offer its services, but personal information shall only be used for the following purposes. In order to facilitate smooth business operations, QON may also share personal information with subcontractors as required; in which case, QON will contract with subcontractors regarding the handling of personal information and appropriately monitor their handling of personal information.

    (1) Applications and registrations for seminars sponsored by QON, requests for materials
    • Registration and mailing procedures for applying / participating in seminars, requesting materials.
    • Send attendance confirmations and other relevant materials associated with applying / participating in seminars.
    • Business activities including related events and seminars, information about products and services.
    • Conduct questionnaires / surveys regarding related events and seminars, and products and services.
    • Analyze survey results, and incorporate results in product / service planning and developments, and marketing materials.
    (2) QON job applicants
    • Application registration procedures.
    • Use of recruitment materials.
    • Send QON guide, information about the QON briefings, contact and coordinate interview schedule.
    • QON will respond to any inquiries it receives.
    (3) Operation and management of Beach services, campaign services, and research services provided by QON
    (4) Other inquiries about QON operations and services
    • QON will respond to any inquiries it receives.
    (5) Specific personal information of QON employees and dependents, customers, and stockholders
    • Based on applicable laws and regulations, individual ID numbers (my number) are entered on certifications of income and local tax withheld from regular pay, payment record, health insurance and welfare pension insurance insured qualification notices, and other such documentation before submission to government agencies, health insurance societies, and so on.
  2. 2. Disclosure of personal information to third parties

    QON never discloses its clients personal information to third parties, with the following exceptions:

    1. (1) When the client consents to release his / her information.
    2. (2) When disclosing or providing statistical data and individual clients cannot be identified.
    3. (3) When QON is required by laws or regulations to disclose or provide information.
    4. (4) When disclosing personal information is necessary to protect life, body, or property, and it is impossible or difficult to obtain permission from clients.
    5. (5) When QON is required to cooperate with national or local public authorities in pursuit of the public interest, and obtaining the clients' permission might obstruct the operation involved.
    6. (6) When personal information of officers or stockholders of a corporation or group, including information regarding the corporation or group, has already been made public or has been announced in accordance with the law by the individual, corporation or group, including information regarding corporations and other groups.
  3. 3. Disclosure

    QON will, upon request from a client, release the client's personal information within reasonable time and scope after verifying that it is the client making the request.

  4. 4. Corrections and deletions

    QON will, upon request from a client, correct, add data, or delete data from the client's personal information within reasonable time and scope after verifying it is the client making the request and the changes are factually correct.

  5. 5. Suspend use and erasure

    QON will, upon request from a client, stop using or erase a client's personal information within reasonable time and scope after verifying it is the client making the request.
    Note that if use of one's personal information is partially or wholly suspended or erased, QON may be unable to provide the services that the client requested. Furthermore, QON may not be able to honor a client's request to stop using or erase personal information if QON is required to retain the information for legal reasons.

  6. 6. Procedures and customer service for requesting disclosure of information

    Please use the following procedures when submitting requests to disclose or change personal information (see Items 3-5 above) held by QON, and when submitting complaints, and requests for information. Follow these instructions closely to ensure your requests are quickly acted upon. If the following procedure is not used, your request to disclose personal information may not be granted.

    Submission Procedures

    Please send all correspondence to the e-mail address shown below. QON will send detailed instructions when we receive a request, but will respond by e-mail or other means after verifying it is the client (or client's agent) making the request. Depending on the nature of the request, you may be required to use a specific QON form.

    Send requests regarding personal information held by QON, as well as complaints, and requests for information to customer service by e-mail (privacy@q-o-n.com).
    Customer service is open from 10:00 AM to 6:00 PM on weekdays. Note that registered Beach users may submit questions or inquires on the Beach website: https://support.beach.jp/webapp/form/16393_ngy_1/index.do.

    【Verifying the client's or agent's identity】
    If a client submits a request, QON verifies the client's identity using a driver's license, passport, health insurance card, certificate of registered seal, or other photo ID, and also verifies the client's QON registration data (or, in the case of Beach users, registration data when the client signed up for Beach services).
    If an agent submits a request, QON verifies the agent's identity using a power of attorney or certificate of registered seal for the seal affixed to the power of attorney, and with a confirmation phone call to the client.
  7. 7. QON's website

    1. (1) Cookies

      Whenever a user accesses the QON website, the website creates a tiny text file called a cookie. Cookies are small pieces of data sent from websites and stored on a user's web browser. Cookies are supported by virtually all web browsers and have now become a de facto industry standard. The webserver is able to identify a user's computer by referring to the cookie. The QON website uses cookies for statistical analysis of accesses and to make things more convenient for users so they can enter and leave the website without having to re-enter the login ID and password over and over again.
      Users can disable cookies on their browsers, but this would make it impossible to access some or all services on the QON website.

    2. (2) Access log

      The QON website tracks information from all users who access the site in the form of an access log (history). The access log includes the domain name and IP address, type of browser, access time and date, and other information, but this information is only used for statistical analysis of management, operation, and usage status of the website.

  8. 8. Providing personal information is voluntary

    Each client can decide whether to provide his or her personal information to QON, but if a client withholds required data, this would make it impossible to access some or all QON services, and preclude recruitment screening for employment at QON.

  9. 9. Cross linking to other websites

    QON assumes no responsibility for the protection of customer personal data on other websites (corporate or individual) that are linked to QON's website. Each individual is responsible to carefully reading the privacy policies of all websites that are linked to QON's website to ascertain what information is collected and how the information is used.
